Make sure all staff understands that the printer is a point of access It’s a little known fact but once it is understood staff are more likely to treat it as such by being more careful, particularly when dealing with sensitive information 2. Implement a user identification system Requiring an individual PIN to be used to send or retrieve information will ensure users are more careful and will also provide a trail should the unthinkable happen 3. Make sure data is not captured Data encryption will stop data from being captured while it’s moving across the network, to or from the printer Nothing is safe if your printers aren’t secure See printers on page 17 or visit www.cos.net.au /c/techhub In the age of web-enabled and multi-function printers we are increasingly vulnerable to malicious data attacks. The reality is, that if you have an unsecured printer, it is highly likely to put the entire network at risk. Whilst you may have done everything you can to keep your computer, portable devices and drives secure, quite often most businesses do not consider the safety of their printers. The biggest risk an unsecured printer poses is the open door it leaves inviting hackers to access documents that have either already been printed (stored in the cache), or documents that are being sent through a wireless connection to be printed. If these documents are accessed and happen to contain sensitive information like company or customer financial information, credit card details or even confidential internal memos and documents, the repercussions could be disastrous. In addition to theft of information, an unsecured printer is wide open to attacks that can cripple the ability to use your printer. Some hackers have been known to jam printers with fake print jobs, literally just for fun, halting productivity in the process. HP Australia recently conducted its IT Security Study, and the results were sobering: • Almost half of Australia’s SMEs with an annual turnover of $3 million or more did not think they were prepared for the Australian government’s mandatory Data Breach Notification Scheme that came into effect in February • 57% of SMEs had not completed a data risk assessment in the last 12 months • Of the 43% of SMEs that had completed a risk assessment, only 29% included printers in their analysis The consequences of a data breach can be enough to bring an SME to its knees. HP’s IT Security Survey found that 67% of SMEs were mostly concerned with the disruption to business operations caused by a breach. 48% were primarily concerned with the costs, while others were worried more about the loss of intellectual property and legal issues they could face. One of the best and safest ways to protect your data is to invest in a printer that will defend your network. HP’s range of enterprise printers feature innovations that can stop a malicious attack before it starts, and ‘self-heal’ if the printer is compromised. Implementing the right data security technology is like having a 24/7 security guard inside your printer. Not having that security guard around could prove to be catastrophic. So, how secure is your printer? Secure Printing
