In today’s ever-evolving work landscape, in which hybrid working arrangements have become the new norm, mastering time management is a crucial skill for achieving success. Whether you’re switching between office and remote work or juggling multiple tasks at once, using effective time management strategies can boost productivity and reduce stress.

According to a Gallup survey, the majority of Chief Human Resources Officers (CHROs) in Fortune 500 companies, have no plans to reduce remote work flexibility within the next year. Furthermore, an overwhelming nine out of ten employees prefer hybrid work, with the majority expressing a desire for flexibility in their work schedules. A McKinsey study shows that, between in-office and remote working, 87% of employees prefer working remotely.

While hybrid working offers greater flexibility, it also poses some time management challenges. One significant challenge is keeping work and personal life separate, as the lines between the two can blur when working from home. Balancing the demands of remote work with the benefits of in-person collaboration necessitates a strategic approach to increase productivity and achieve a healthy work-life balance. Below are some strategies for effectively managing your time while working remotely.

Managing Tasks Based on Impact

Australians spend an average of 4.2 hours per day on task-related activities. These activities are those directly related to a task that needs completion and excludes things like meetings, phone calls, emails and the like.

To make the most of this time, prioritise tasks based on their impact on your goals and objectives. Begin by establishing consistent start and end times for your workday, whether you work remotely or in an office. This will promote a sense of discipline and routine, reducing the chances of procrastination or distraction.

Set aside specific time blocks for tasks like email correspondence, project work, and meetings, and stick to these schedules. In addition, include regular breaks in your routine to maintain productivity and reduce burnout.

Setting Clear Boundaries

Maintaining clear boundaries between work and personal life is crucial for hybrid workers to avoid burnout and maintain wellbeing. According to a Harvard Business Review study, remote workers report lower stress levels when their communication boundaries are clearly defined.

If you’re working remotely, creating a dedicated home office or using co-working spaces helps to separate your professional and personal lives, reducing distractions and improving focus. According to Owl Labs, remote employees are 22% more likely to have a positive work-life balance than on-site workers when they have a designated workspace.

Time-Blocking

According to The Wall Street Journal, it can take up to 23 minutes for employees to regain focus after being distracted or switching tasks, resulting in a significant loss of time and productivity, but there is a solution: time-blocking.

Allocating specific time slots in your calendar or diary for focused, uninterrupted work, also known as “deep work,” allows you to effectively schedule your day and prioritise meaningful tasks. Time blocking provides structure, and also allows employees to adjust their schedules as needed. In hybrid working arrangements, unexpected events or changes can occur anytime, and time blocking can allow employees to modify their plans while maintaining productivity and goal achievement.

Embracing Flexibility

While structure and routine are important for effective time management, hybrid employees need to be adaptable in order to meet changing circumstances and workplace demands. Embracing flexibility in time management is essential for increasing productivity and achieving work-life balance.

According to FlexJobs, employees with flexible schedules are 29% more productive and 53% more focused than those who work traditional shifts. As an employee, you need to recognise that unexpected challenges or opportunities can arise at any time during their workday, and it is critical that you modify your plans accordingly, as staying adaptable and open-minded can help you navigate the complexities of hybrid work and maintain a sense of control over.

Practicing Mindful Time Management

In today’s fast-paced work environment, practicing mindfulness can significantly enhance your time management skills and overall wellbeing. Incorporating mindfulness techniques like meditation, deep breathing exercises, or brief moments of reflection into your daily routine can improve mental clarity and focus.

Taking regular breaks throughout the day to get away from your work and recharge can help you return with renewed energy and improved concentration. Hybrid workers who practice mindful time management can reduce stress, increase resilience, and boost productivity in both remote and in-person work settings.

Prioritising Self-Care

Achieving a healthy balance between work and personal life in a hybrid setting requires efforts towards self-care and effective time management strategies. A survey conducted by FlexJobs revealed that 96% of employees consider a remote or hybrid work setup beneficial for their mental health.

Set clear boundaries between your work and personal time. Make time to relax and engage in activities that you enjoy. Taking regular breaks throughout the day, such as taking short walks or practicing mindfulness exercises, can help you feel less stressed and more focused.

To maintain overall health, it is critical to prioritise healthy habits such as exercise, proper nutrition, and adequate sleep. Talking with your co-workers about your workload and expectations can help to foster a supportive work environment. If you require assistance, do not hesitate to ask your boss or HR to look into employee support programs.
